1. Overview
A red flag is a way to escalate a critical horse-welfare observation. When staff record a horse note (for example an abnormal temperature reading) and mark it as a red flag, Prism automatically raises an in-app notification and emails the recipients you have configured – typically the trainer responsible for that horse. This means an important reading is never missed, even when the trainer is not logged in.
The feature has three parts, covered in order below:
- Set up who receives red-flag emails (once, in your notification settings).
- Raise a red flag on a horse when recording a note.
- What Prism sends automatically once a red flag is raised.
Note. Recipients must be added first (Part 2). If no email addresses are configured, a red flag will still be recorded in Prism, but no email will go out.
2. Set up red-flag email recipients
Choose who should be emailed whenever a red flag is raised on any horse in your care. You only need to do this once (and update it when your team changes).
Step 1. Open your notification settings.
Click your profile avatar at the top-right of the screen, then choose Notifications → Red Flag Config.
Step 2. Add each recipient email address.
In the Add Email dialog, type an email address and press Enter. Each address is added as a tag. Repeat to add more recipients.
Step 3. Save.
Click Save changes. Those recipients will now receive red-flag emails automatically.
Note. To remove a recipient later, reopen Red Flag Config and click the × on their email tag, then save again.
3. Raise a red flag on a horse
Red flags are raised from a horse’s Note records – for example when logging a temperature that is outside the safe range.
Step 1. Start a new note.
Click + New Note. Existing notes for the horse are listed here, with a Flag column showing any that are already flagged.
Step 2. Choose the horse, date and note type.
In the Create Note dialog, confirm the Horse Name and Date, then select a Type= Temp
Step 3. Enter the reading and raise the red flag.
Enter the Record value – for a Temp note this is the AM / PM temperature in °C. Add any note text or attachment if needed, then click Save.
=>If the temp is outside the threshold set by the user, the red flag automatically will be raised
4. What Prism sends automatically
As soon as a red-flagged note is saved, Prism does three things:
4.1 In-app notification
An alert appears under the notification bell, for example: “<Horse>’s temperature of 36.0°C (AM) has been recorded as a red flag.”
4.2 Email to your configured recipients
Everyone added in Part 2 receives an email from Prism System. For a temperature red flag the subject is “Red flag temperature recorded for <Horse>” and the body reads “Please be informed that a red flag temperature of 36.0°C (AM) has been recorded for <Horse>.”
