How to manage Horse Ownerships


View Ownership

In Owners section, you can view and manage detailed ownership information of a horse. The Current tab list displays the active owners and their shareholdings. 



You can click on a row to expand/collapse transaction history


View Transaction history

To view transaction history, you can open the 'Transaction' tab to view. In this tab, transactions will be grouped and arranged by date. You can also expand/collapse each transaction or all to view.


Edit horse ownership

There will be times when you need to adjust an owner's ownership share in a horse.  This could be because the owner sold their shares to another owner, or a new owner has purchased shares so the other owners' shares need to be adjusted.  


  1. In Owners section, click Edit Ownership button.
     

  2. The Edit Horse Ownership window will be shown.  All the current owners of the horse will be displayed.


  • Before editing the owners' share(s), specify the adjustment date (the date for the ownership change will be applied);

    



Notes

The Adjustment Date is the date of Sale. Owners you add will be billed the day after this adjustment date.  For example,  if you wish for the billing to be effective on the 1st of May, you will need to set the Adjustment Date to 30 April.  


The exception to this rule is if there are no previous owners for the horse.  For horses with no previous owners (this is the first time you are entering owners for that horse) the Adjustment Date should be set to the date the ownership takes effect.  For example, if you want the billing to be effective on the 1st of May, then the Adjustment Date will have to be set to the 1st of May.



  • Review and adjust the share % owned as required, adding share % ownership in the +% column, and reducing share % ownership in the -% column;


  • Add new owner(s) to the horse ownership and their share percentage owned, one at a time via the Add button.


  • Ensure you maintain the total share ownership at 100%;



  1. Click Save to finish the process.




Notes
  1. If you adjust the ownership share to 0%, the owner will be moved to Others tab of the horse's Owner section.
  2. You can’t see the owners with 0% share of the horse in Edit Horse Ownership window. But you can input their name there, enter the share percentage and add them as current owners of the horse.
  3. The transaction will be recorded in the Transaction History tab by Adjustment Date plus 1 day. 
  4. If this occasion is the first time you have added an ownership share to a horse, purchase and billing dates for a horse's owner will be calculated from the Adjustment Date

Export owners

You can save the report by in CSV format by clicking on ‘More’ > ‘Export Owners’.



Send email

You can send an email to the owner by clicking on ‘More’ > ‘Send Email’. Then, a ‘Send Request’ popup will appear with the Subject and Content information automatically filled in. You need to fill in the email information and click the <Send> button to send.


How to set Managing Owner?

You can set only one owner as managing owner for a horse by clicking on the 'Star' icon before the Owner name.


How to generate ownership information of shared horses

To generate the latest ownership information of horses that have been shared to your Prism portal - simply click on 'Refresh Ownership’ button in the relevant horse's profile. The system will then automatically generate the latest ownership information for that horse. 



Notes

This is helpful for farms, farriers and vets to generate accurate and up to date billing information of horses they are providing services for.





How to archive an owner from a horse

If you wish to remove an owner from a horse, you can archive the owner to ensure you maintain the transaction history of the horse.


When you archive an owner, it means the horse will stay in their list as an archived horse. But the owner won’t be able to receive your updates about the horse in the future.


  1. Go to the Horse Page, select the horse that you want to make the update.
  2. Check Owners section, review the owner list in CURRENT or OTHERS tab and for the owner you intend to make the change.
  3. In the Action column, there are two options for the owner, click on Move to Previous. A dialog confirmation shows if the owner still has some share in the horse.
  4. If you select Adjust Shareholding option, it will open Edit Horse Ownership dialog and follow the prompts, making sure you remove all of their shares and reallocated them to other Owners, ensuring the total remain at 100%.
  5. Then click Save.


You then can view the owner in the PREVIOUS tab with their transaction history.


From the view of the owner, once they log in the system, the horse is listed in their Archived horse list. They are able to view horse profile, racing information and statistics but no other media.



How to automatically notify horse ownership changes

If an update of a horse’s ownership is made, and the horse is shared with other parties, the following warning will display. “This horse and horse ownership is shared with another Prism Account. Would you like to automatically notify the other Prism account(s)?’


If you select Yes, a pre-drafted email appears ready for you to adjust if necessary, and send. The supplier will receive the email with a .csv attachment displaying new ownership details. 


Notes
Ownership will not be automatically updated in the Prism accounts with which you have shared the horse and owners. Those Prism accounts will need to be manually updated.
