You can semi-automate notifications to owners upon horse arrival and/or departure . These notifications can be configured to be sent whenever a horse's location changes, either manually or via transport task completion.
This feature allows you to configure email templates to easily share key information about a horse's arrival to, or departure from, a location. Those templates can automatically including any one or more of the following:
- Last 12 months history of Vaccination procedures
- Last Farrier task
- Last Dentist task
- Horse Identification (brands etc)
- Last Service (cover) date (if the horse is a broodmare).
Enable/Disable owner notifications upon arrival or departure from a location
1. Login under your Prism portal's master account and navigate to Arrival & Departure Notifications, via your Profile.
2. By default, both Arrival and Departure Notifications are disabled. You may choose to enable either or both Portal (desktop and mobile) Notifications and/or Email Notifications to owners.
3. Click on the Edit action icon next to Arrival Advice or Departure Advice , to view and modify the default Email Body of the Notification.
4. You can update the default text and layout of the Email Body template. In the bottom of that window, choose any one or multiple options to automatically insert the relevant information into the email upon sending. If you select at least one of checkboxes, the {Attachment} tag will be automatically be added into the email body, under {Procedurelist} tag.
Send owner notifications upon arrival or departure from a location
1. Arrival and / or Departure Notifications can be triggered by any of the following three events:
a. Change Location via Horse Profile
b. Add Location History via Horse profile
c. Completing a Transport Task
2. Upon changing the location, adding a location history or completing a transport task, a dialog box will open asking if you wish to notify owners of either the arrival at the new location, or the departure from the previous location. You can choose your preference, or not send any notification.
3. If you choose to notify the owners of the arrival to, or deprture from, a location, a dialog box will appear with the default email notification as set in your configuration. You may do any or all of the following:
a. modify the email text
b. add procedures, selecting from the list of recent procedures performed prior to the change in location, and including the list in the email text where the placeholder {procedurelist} is placed
c. reorder the position of the tags by copying and pasting into the position desired. You can also delete any of the tags to prevent that data being inserted into the email upon sending.
d. attach media
4. Upon the arrival or departure notification being selected, the relevant information will be inserted into the email.
