A key step in the configuration of your Prism account, is to setup:
- Locations which a horse can be assigned to
- Horses Statuses which can be assigned to a horse
- Location - Status Presets to more quickly assign frequent Location - Status combinations to a horse
- Barns / Paddocks
- Boxes in Barns
- Horse Categories (for breeding module users only)
To add, update or delete any of this master data, click on your profile at the top right of the screen, then select Master Config
Configuring your Locations is critical to keep track of the location of each horse. It is also critical for invoicing any daily charges that may apply.
Select Horse Location & Status in the Screen dropdown box, then select Location in the Label box.
Here, you can Add New Locations, click on any existing Locations and rename them, or delete any Location.
If you delete a Location to which Horses are currently assigned, or have been assigned in a period which has not yet been invoiced to Owners, you will be asked to update the location of each horse and the effective date.
Configuring your Statuses that can be assigned to each horse is critical to keep track of the status of each horse and for invoicing any daily charges that may apply. Daily charges (see
Day Rates) are applied to the combination of Location and Status assigned to each horse.
Select Horse Location & Status in the Screen dropdown box, then select Status in the Label box.
Here, you can Add New Status, click on any existing Statuses and rename them, or delete any Status.
Maintaining the Location and Status of each Horse can be made a little easier by setting Presets. This is a list of most frequent Location - Status combinations.
Select Horse Location & Status in the Screen dropdown box, then select Location & Status Presets in the Label box.
Here, you can Add New Location & Status Presets, click on any existing Presets and rename them, or delete any Preset.
For any Location you can optionally configure Barns / Paddocks.
We are working towards re-laballing all screens are reports to reflect Barns as being either Barns or Paddocks.
Select Barn/Box in the Screen dropdown box, then select a Location in the Label box.
Here, you can Add New Barns/Paddocks, click on any existing Barn/Paddock and rename them, or delete any Barn/Paddock.
For some Locations you may choose to configure Boxes. Horses can then be assigned not only to a Location > Barn, but also to a specific Box.
Select Barn/Box in the Screen dropdown box, then select a Location in the Label box, then select a Barn.
Here, you can Add New Boxes, click on any existing Box and rename them, or delete any Box.
For subscribers to the Prism Breeding module, you can configure Horse Categories for each Horse Type.
The Horse Type field is only visible on horse profiles when subscribed to the breeding module. The horse types include: Stallion, Broodmare, Foal, Weanling, Yearling, 2YO, Racehorse, Speller and others).
The Horse Category can be used to further categorise horses. For example:
- setup categories for Broodmares: Dry Mare, Dry Mare In Foal, Wet Mare, Wet Mare In Foal, Maiden Mare, etc.
- setup categories for Yearlings: Uneducated, Educated.
