How to Manage Suppliers in Finance

From top navigation, click on Supplier, it shows you the list of suppliers you have in the system. This helps you to manage your supplier list, their contact and transactions (later on, not with the current version) you have with a specific supplier.




INTERNAL SUPPLIER


Where there are costs generated within the business that you need to account for, you can always put it to your Internal Supplier account to you. The Internal Supplier account is generated automatically and allows you to allocate costs that have an internal charge or have been incurred internally.



SUPPLIER INFORMATION


The profile for each supplier has below information:


  • Supplier Name: this is required field, input the name of the supplier you are working with. Make sure the name is unique in your list.

  • First Name: First Name of the contact for Supplier

  • Last Name: Last Name of the contact for Supplier

  • Mobile number: supplier mobile number

  • Email: supplier email address to contact

  • Address, Suburb, Postal Code, State, Country: supplier address.

  • Debtor #: contact ID.

  • GST Register: “Yes” if supplier registered GST.

  • ABN: supplier ABN number

  • Bank Account Number/ Bank Account Name: bank account information of the supplier

  • Purchase Setting: some settings for billing receive from Supplier.

    • Tax Settings: the default tax setting for the bill, include tax or not

    • Default account: the default account for the bill. You can change it later

    • Default Purchase GST: the default tax rate for bills from this supplier.

  • Due date: Bill due date settings for this supplier. Therefore, all bills created when you run ‘Create Statement’ Wizard with this supplier will automatically inherit ‘Due Date’ settings.


Note:

  • If supplier is not GST Registered, Tax Settings will be “No Tax”. This means when you capture bills from this supplier, the amount input in Cost will not include tax.

  • If supplier is GST Registered, you are able to select “Tax inclusive” or “Tax exclusive” as default when create new expense with this supplier.




ADD NEW SUPPLIER


In Supplier page, click on + Add Supplier button, the form shows and allow you to add in a new supplier.


After provide information as in the form and click Save, new Supplier will be listed in the left column.


Note:

  • You can’t add new supplier who has the same name as an existing supplier or owner in the system.

  • You are able to add a supplier from the Float button, the form will be the same as described above.

  • When you create a transaction or a rule, you can create a new supplier by Add Supplier inline.



EDIT A SUPPLIER


  1. To edit a supplier, go to Supplier Page and select the supplier you want to update in the left column.

  2. Click Edit Supplier button on the top right, the form displays with the same content as Add new Supplier form.

  3. Adjust as you want.

  4. Click Save to finish.
